Providence Health & Services Administrative Assistant I - Mental Health in Valdez, Alaska


Providence is calling an Administrative Assistant I (Mental Health Dept, Day Shift, 1.0 FTE) to Providence Valdez Counseling Center in Valdez, Alaska.

The Administrative Assistant will provide a high level of administrative assistance and front office clerical support to the staff members of the Providence Valdez Behavioral Health Department (PVBH).

In this position you will:

  • Provide direct customer service to PVBH clients by: scheduling appointments for staff members as well as the consulting psychiatrist, answering inquiries regarding PVBH services, announcing client arrival for their scheduled appointment, routing client paperwork to the proper recipient, providing resource materials, verifying client form completion, and additional tasks as appropriate upon request.

  • Work closely with the Client Support Services Coordinator (CSSC) in order to promote the smooth operation of the agency, and perform the basic essential job functions of the CSSC during any absence. As assigned (or in the absence of the CSSC) review client charts for completion, quality measurement standards, and compliance.

  • Perform opening and closing tasks to prepare the agency for day-to-day business activities and to secure the agency during non-business hours.

  • Coordinate and maintain staff electronic appointment calendars using discretion in scheduling and rescheduling, as appropriate.

  • Handle switchboard operations, including answering incoming phone calls in a professional and courteous manner, routing calls to the appropriate personnel, taking and delivering messages, monitoring the general PVBH voicemail box, and updating the out-going message as assigned.

  • Perform routine data entry for customized PVBH reporting mechanisms to include daily client encounters, administered UA tests, emergency fund spending, dispersed voucher tracking, and records management. Prepare quarterly reporting for review and submission.

  • Order and maintain office supplies, and keep office equipment and the office maintained.

  • Sort, process, and distribute daily inbound and outbound mail deliveries. Coordinate arrangements for carrier pick-up.

  • Create client profiles, input intake documentation, provide encounter data, update CSR forms, perform electronic discharge functions. Maintain client files to include chart assembly, record organization, the filing of new paperwork, and the completion and routing of medical records requests. Flag the charts for any missing information and perform follow-up to insure completion.


Required qualifications for this position include:

  • High school diploma or equivalent

  • 2 or more years experience in a clerical setting

  • Proficient with computer word processing

  • Keyboard at a minimum of 35 wpm

  • Ten key pad at 100 dpm

  • Strong organizational skills

Preferred qualifications for this position include:

  • Associates degree or higher in Business or related field

  • Previous mental health or medical office experience
