Providence is calling a Graduate Medical Education Program Coordinator (Medical Staff Office, Day Shift, 1.0 FTE - 40 hours per week) to Providence Alaska Medical Center in Anchorage, Alaska. In this position you will:
Serve as the principal point-of-contact in the medical staff office for all GME onboarding responsibilities. Provides administrative support to the satellite clinics, and/or participating training sites including acting as a liaison between sites with GME related student issues or onboarding. Assists and maintains policies and procedures dealing with GME and medical/allied health students.
Coordinate the shadow program for the medical staff office. This includes responding to all inquires about shadowing the medical staff at PAMC, completing clearance for observations in a Providence facility as well as collaborate with local school districts to enhance the awareness of healthcare careers.
Credential, develop and maintain the files of all new/returning medical students and allied health professional students rotating at PAMC which includes but not limited to launching the application process, obtaining primary source verification from program, work history, professional reference and licensure if applicable. Assures that appropriate review of verification of credentials for all residents, fellows, and students is completed including tracking rotations and schedules.
Collaborating with the Family Medicine Residency, Hospice Palliative Medicine Fellowship, Addiction Medicine Fellowship, University of Washington Pediatric Residency Track and other residencies/fellowships as well as GME system workgroups and collaborations.
Partnership with community entities such as State of Alaska licensing board for resident licenses and State of Alaska Department of Health and Social Services for background check applications and maintenance.
Develop and cultivate a collaborative working relationship with identified preceptors, leaders of the medical staff, the Designated Institutional Official (DIO) as well as the Providence System Office, to include legal affairs, Physician Enterprise, and Providence Medical Group.
Executing and maintaining clinical education agreement with Universities, Schools, and other Residency programs and submits to Master Files all clinical education agreements with the medical schools and programs for students being onboarded through the medical staff office. Also maintaining the database and contract renewal process of clinical education agreements.
Serve on, supports, and facilitates GME committee and subcommittee meetings and documents committee minutes and oversees progress of action items. Assist with the development and implementation of GME satisfaction survey and focus groups to identify barriers in student learning experiences.
Requesting and managing any GME student and non-employed Residents PHSA applications, access and terminating accesses when necessary.
Creating and submitting electronic tickets to ensure students have computer access during their rotation at PSJH facilities within the Alaska Region.
May need to collect in-rotating residents' schedules and demographic information for Medicare cost reporting.
Perform other related clerical tasks and duties as assigned
Required qualifications for this position include:
- Four (4) years progressive Administrative or Office Management experience
Preferred qualifications for this position include:
Coursework/Training in Personal Computers
Prior coordination of education activities and/or credentialing experience
Three (3) years experience in a Medical setting with Medical Terminology
